Vacation Bible School
Meeting Minutes: March 30, 2014, 6:00 p.m.
Elm Street Presbyterian Church
Present: Nancy Matis, Marilyn King, Susie Delano
Minutes/Treasurer’s Report: The reports were not available. Susie will email Marj for the treasurer’s amount. Information/decisions from the meeting in February were covered in the discussion and are included here. (Mary Cordes was also present at the meeting in February.)
NEW BUSINESS:
Location: The Nature Institute
Dates/Time: After consulting the calendar (to avoid Father's Day or other holidays), we decided on Sunday, June 8 -- Thursday, June 12; 5:30-8:00 each evening & a potluck on Friday, June 13.
Program: After discussing our options (theme for TNI, costs, etc.), the group decided to order Solar Under the Sun from the same PC(USA) group that wrote Clean Water for All God's Children, that we did two years ago. The cost is $50.00, and we think we can easily adapt it to meet our needs.
Additional Church Sponsors: Susie reported that Minnie Robinson from Greater St. James MB Church was interested in our VBS program last year and Marilyn suggested we contact her before April 8. Susie will contact her and also Morning Star, St. John's MB Church and St. Paul's Episcopal. We will ask for their participation as program volunteers, for funding, to send children in their congregation or for all three—what ever way in which they would like to participate. We will also contact members from Salem Presbyterian, Zion Presbyterian, Resurrection Lutheran and the former members of Trinity Lutheran, as we have in the past.
Section Areas:
We will know more about what is needed once we have the program available for examination. A list of volunteers for section areas from 2013 was reviewed at the meeting. We will need to replace those volunteers and Youth volunteers from College Avenue. (Games, Opening/Closing, Music, Mission/Daily Challenge). Ann McLaughlin will not be able to lead the Preschool portion of the program this year. We will look at our possible volunteers from Elm St. and First Presbyterian and the section areas/small group leaders again at the next meeting. Volunteers thus far are: Nancy Matis, Crafts; Susie Delano- Bible Stories, Publicity, Potluck, Small Groups (Note: I am more than happy to hand off any of my volunteer areas, if they desire!); Marilyn King- Snacks, Registration/Name Tags, and Marj Bryant- Treasurer. Marilyn suggested using a 3-ring binder for organizing kids' registrations & flagging kids with any allergies. She also suggested simplifying snack with popcorn & juice that will be purchased prior to VBS. It was also suggested that publicity flyers be made and circulated among area churches immediately; and that the 4th/5th grade group be led by adults. Last year, children brought canned goods or personal items which were split between First Pres. & College Ave. This year, we will also look at the mission suggested in the program to see what we might choose that reinforces the theme.
Our next meeting will be at Elm Street Presbyterian Church at 6:00 p.m. on Monday, April 28, 2014.

Hi Everyone,
Sorry—I guess we were supposed to meet last Monday, but I wasn’t sure of the date because there were 5 Mondays in the month of March! We will meet tonight at 6:00 at Elm St. to choose a VBS program (if you haven’t looked at www.solarunderthesun.org -click on VBS, please take a look) and nail down some of our areas with leaders. If Nancy does crafts, Marilyn does snacks and I do Bible stories, we will still need opening/closing & mission (which we could split between College Ave & First for our local community aid programs like last year—Elm St. could also be in the mix if they want), games, preschool, music (?) and registration. I will shop/set-up for the potluck (unless someone else wants to do that). All of this is what we discussed at our last meeting with Nancy Matis, Marilyn King, Mary Cordes and I in February. Lyndall Colburn was also there, but wasn’t present for the meeting. College Avenue will do their own VBS this year at the church and will not be at The Nature Institute.

Let’s try to get together on Monday, February 24th at Elm Street Presbyterian at 6:00 p.m. to discuss VBS 2014. I know that they have their Session meetings on the 4th Tuesday of the month, and College has Youth every Tuesday, so maybe this will work for us.

VBS Solar Under The Sun is pleased to announce the first edition of its Vacation Bible School Curriculum. Acclaimed Christian Educator Dee Koza has created material designed for kindergarten through fifth grade students to consider how the Bible calls us and provides guidance in serving as God's stewards of the earth. Through Bible study, learning centers, and mission moments, participants will learn about the role of solar power as it sustains life, gives energy, lights the earth, brings warmth, and promotes growth.
Each day includes a gathering time, a Bible study, solar puzzles and experiments, solar crafts, snacks and solar games, and solar mission moments. While designed as a Vacation Bible School experience, you may adapt the program to Wednesday night programs or Sunday School.
Total Cost is $50.00, including shipping.
The price is certainly right!!! It looks like this might be the same group who helped develop “Clean Water for All God’s Children” that we did two years ago. Take a look and see what you think! ‘Hope to see you on Monday evening. Please let me know if you CAN or CANNOT make it.

Hi VBS Planners,
Please mark your calendars for the next meeting at Elm St Presbyterian on Thursday, April 11, at 6:00 p.m. VBS will take place this year on June 23(NOT Father’s Day) – 27, with the potluck on Friday, June 28. The group chose the program from Cokesbury, Fun Fair for All. It should be a wonderful program for the outdoor setting of The Nature Institute, and it stresses the relationship all of us throughout the world have as Children of God.
Please read the minutes below for more details and ‘hope to see you (or a representative from your group) on April 11 !

Present: Nancy Matis, Sandy Monroe, Karen Wilson, Carolyn Bumbacher, Susie Delano
Agenda/Treasurer’s Report: The meeting agenda was approved. It was reported that $397.94 still remained in the treasury-- enough money to purchase any VBS starter kit.
NEW BUSINESS:
Location: The Nature Institute
Dates/Time: After consulting the calendar (to avoid Father's Day or other holiday weekends), we decided on June 23-27, with a potluck on Friday, June 28; 5:30-8:00 each evening.
Program: After discussing our options and various VBS programs, the group agreed that they wanted a program that would be complimented by the setting at The Nature Institute, and that also stressed our responsible stewardship of God's Creation. Sandy suggested Cokesbury's "Everywhere Fun Fair", which stresses other people around the world as our "neighbors" in God’s communuity. After discussion, others agreed we would move forward with that program. Sandy will purchase the program and receive reimbursement from Marj. Sandy also suggested media release forms for possible PR photos of VBS activities.

We will meet here at First Presbyterian at 6:00 p.m. for our first VBS meeting. We can meet here tomorrow night and you can park on Alby St. (pay no attention to the sign; the city has never taken it down after parking was allowed there anytime) or in the Miller’s Mutual lot and come in the Alby St. door (where the little roof is & I’ll have the light on).
The meeting will be very short! Be thinking about: 1) where & when to meet next time. 2) dates for VBS (NOT starting on Father’s Day) & working around the school schedule 3) possible programs—I made a list in the last email. Feel free to add other programs to it!!! Look on line, if you have a chance, to see what might work. The links are here: (Concordia lists several different programs in addition to the ones I had. To see all of what Gospel Light has to offer, go the the site below and click on Vacation Bible School at the top of the page). I have also examined the PCUSA website and have not found anything appropriate for a 5 day outdoor and/or environment-themed program.

I’m sorry it has taken so long to get back to you with a meting date! February was a VERY BUSY month! Can you get together this Wednesday, March 6, at 6:00 p.m.? We have had a number of conflicts with Mondays & Tuesdays. First Prez has Choir rehearsal on Wed. Nights, but we’ll be finished before that begins at 7:00.
If possible, how does the first Wed. of the month work for you? Marj, if possible, can we meet at Elm Street Presbyterian? If this will not work this Wednesday, we can meet at First Presbyterian. Please let me know if you can or cannot make the meeting this week. The next possible Wed. this month with no conflicts is March 27 of Holy Week!! I don’t think that’s gonna work!
I have been looking at possible VBS programs that emphasize good stewardship of God’s Creation, but haven’t come up with a lot of options this year. Standard Publishing is offering God’s Big Back Yard, Gospel Light has: SonQuest Rain Forest, SonRise National Park and SonRock Kid’s Camp. I haven’t had a chance to really delve into any of these yet—just thought they sounded interesting and had possibilities for an outdoor setting.
When I hear back from Marj about whether or not we can meet at Elm St., I’ll send an email about the location of the meeting. Again, I am sorry to give such short notice!
